Privacy Policy
Effective from 2 September 2026
This policy describes how Cluvix Solutions Co., Ltd ("we") collects and processes your personal data when you visit cluvixsolutions.com or submit the contact form.
1. Data controller
Cluvix Solutions Co., Ltd. Address: 60/17/65B Lo O Street, Noi Hoa 1 Quarter, Dong Hoa Ward, Ho Chi Minh City, Vietnam.
For any request concerning personal data, write to contact@cluvixsolutions.com or call 0976 365 284. This is also the channel for exercising the rights described in section 8.
2. Data we collect
When you submit the contact form we collect: your name, email address, phone number, company name (optional), reason for contact, and your message. If you select the recruitment option, the form adds a field where you paste a link to your own CV.
Alongside the form, the system automatically records: the page you submitted from, the interface language, and campaign parameters in the URL (utm_source, utm_medium, utm_campaign) if present. Those parameters are held in your browser session and disappear when you close the tab.
The website does not install third-party analytics or advertising tools. There is no Google Analytics, no Meta Pixel, no session recording, and no tracking cookies.
Your IP address is used temporarily to rate-limit form submissions against automated bulk sending. We do not store it with the form content.
3. Purposes of processing
We process this data to contact you and answer your request, to advise on the product or service matching the reason you selected, and to review your application if you are applying for a role. Campaign parameters tell us which channel you arrived through, for assessing our communications.
We do not use your data for any purpose beyond those above, and we do not sell or trade data with third parties for commercial purposes.
4. Legal basis
We process data on the basis of your consent, given by voluntarily completing the form and ticking the confirmation box before submitting. Without that tick the form does not send. You may withdraw consent at any time as described in section 8.
5. Storage and recipients
Form data is passed to an internal management system that we operate, hosted in Vietnam. Data is not transferred outside Vietnam. The website server keeps no copy of the form content.
We currently do not pass form data to any other third party. If that changes, we will update this policy and give notice under section 10 before the change takes effect.
For job applications, we keep the link you provide and do not download the file ourselves. Access to that link remains under your control and you can revoke it at any time.
6. Retention
We keep your contact data for up to 24 months from our last exchange, after which it is deleted from the internal system. Where the exchange leads to a contract, related data is retained with the contract file for the period required by accounting and tax legislation.
Data is deleted earlier in two cases: the purpose of processing has been fulfilled, or you withdraw consent and request deletion under section 8.
7. Security
Data travelling between your browser and the website is encrypted with HTTPS. Access to the internal system is limited by account and role; only staff responsible for a request can see the data. The form includes protection against automated bulk submission.
8. Your rights and how to exercise them
Under Decree 13/2023/ND-CP you have the right to: be informed about the processing of your data; access and request correction; withdraw consent; request deletion; request restriction of or object to processing; request a copy of your data; and complain or take legal action as provided by law.
To exercise these, send a request to contact@cluvixsolutions.com or call 0976 365 284, including the email address or phone number you used on the form so we can identify the right record.
We act on your request within 72 hours of receiving it, as required by Articles 14 and 16 of Decree 13/2023/ND-CP. For deletion requests we remove the data from the internal system and from the related correspondence in our mailbox. Where law requires part of the data to be retained, such as accounting records, we say so explicitly in our reply.
9. If you do not provide data
The required fields on the form are the minimum we need to reply to you. Without them we have no way to respond to your request.
10. Changes to this policy
When this policy changes, the new version is published on this page with a new effective date. For changes that widen the scope of processing, we give notice before they take effect. We encourage you to revisit this page from time to time.
